Agency Incident Reporting: State What Was Observed and Verified
A useful agency incident report separates observation, verification, action and remaining uncertainty. Scheduled monitoring can support timely communication, but it does not justify claiming instant detection, saved rankings or prevented financial loss without evidence.
Use a consistent report structure
Record the affected URL or template, observation time, measured difference and verification method. Identify whether a planned deployment explains it. State who owns the repair, which user journeys may be affected and when the next update is due. Keep private client and authentication data out of broadly shared reports.
Distinguish three timelines
The first observed anomaly, operator confirmation and completed repair are separate events. A scheduled monitor can observe a problem only when it checks and receives the relevant response. Report actual times rather than turning the check interval into a guaranteed response target.
Worked example: an indexing directive changes
Suppose a scheduled page check sees noindex on an important service template. Confirm the live directive and review the release history. Once the authorized team repairs it, verify the original page and another page using the template. Tell the client what was found, what changed and that search processing remains outside your control. This is an illustrative reporting example, not a customer case study.
Avoid unsupported impact statements
A traffic-quality flag is not a confirmed advertising charge, and a page repair does not prove a specific ranking was preserved. If you estimate potential impact, label assumptions and distinguish it from observed outcomes. Do not fabricate a quoted customer success message or savings amount.
SearchBastion monitors configured page responses on a schedule and supports configured notifications and operational review. It does not automatically prove compromise or repair the website. Inspect metadata as a verification step, and use Google's search traffic debugging guidance before attributing later search changes to the incident.
